Is AI safe for my business to use?
AI is safe when it's deployed with proper guardrails and governance — and dangerous when it's not. The risk isn't AI itself; the risk is employees pasting customer data into the wrong tool, executives signing contracts AI hallucinated, or sensitive information leaking through unmanaged accounts. We deploy AI with data boundaries, role-based access, audit trails, and written acceptable-use policies so your team gets the benefits without the burns.
What's the difference between Microsoft Copilot and Anthropic Claude?
Microsoft Copilot is deeply integrated into the Microsoft 365 apps your team already uses (Outlook, Word, Excel, Teams) — best for productivity inside the Microsoft ecosystem. Anthropic Claude is the most safety-focused frontier AI on the market — best for analysis, long-document work, complex reasoning, and use cases where data privacy is paramount. Most Arkansas businesses end up using both.
Won't my employees just leak our data into ChatGPT anyway?
Without governance: yes. Surveys show 60–70% of knowledge workers already use unauthorized AI tools at work. The fix isn't banning AI (impossible) — it's giving employees a sanctioned, secure way to use AI for the same tasks. We deploy enterprise-tier Copilot or Claude with your data boundaries, then write the acceptable-use policy and train your team so they choose the safe path.
How much does AI cost to implement for a small business?
Three engagement tiers, all scoped on the free 10-minute AI strategy call. Tier 1 — AI Readiness Assessment: fixed-fee project, in-person workshops + workflow mapping + written 12-month roadmap. Tier 2 — AI Deployment Project: scoped from your roadmap (Copilot rollouts, Claude implementations, custom AI automations, governance policy builds). Tier 3 — Managed AI: ongoing per-user retainer in three branded levels — AI SafeStart (basic AI program: license management + governance baseline), AI Fundamental (mid program: + custom automations + training cohorts + quarterly audits), or AI Vigilance Pro (full program: + fractional CAIO advisory + executive strategy). A lighter-commitment per-seat option is available for businesses that just need Copilot license management without the full program. We don't publish per-tier rates because the right scope depends on your user count, license posture, and how aggressively you want to deploy. You'll see your number on the discovery call.
What is AI governance and why do I need it?
AI governance is the written set of rules, policies, and controls that determine what AI tools your business uses, what data goes into them, who has access, and what outputs are acceptable. Cyber-insurance underwriters now ask about AI governance. Regulators (HIPAA, FFIEC, FTC Safeguards) increasingly expect it. And clients are asking too.
What if AI makes a mistake — who's responsible?
You are. AI doesn't shift legal responsibility; it amplifies it. That's why we build human-in-the-loop checkpoints into every deployment for high-stakes outputs (contracts, financial advice, medical notes, legal documents). AI drafts; humans approve. We also train your team to recognize hallucinations and require source verification on anything that leaves your business.
How do I know which AI use cases are worth pursuing?
That's what the AI Readiness Assessment is for. We map your workflows, identify the highest-ROI candidates for AI augmentation (the boring repetitive work that's eating hours), and build a phased roadmap. We deliberately rule out the low-value "AI for the sake of AI" projects — that's how businesses waste money on tech demos that never deliver.
Will AI replace my employees?
In the businesses we serve: no. AI handles the work nobody wanted to do anyway — drafting routine emails, summarizing documents, classifying invoices, transcribing meeting notes. Your team focuses on the higher-value work that requires judgment, relationships, and decisions. Done right, AI makes your existing team more productive, not redundant.
Should we buy Copilot Business or Copilot Enterprise?
Depends on your Microsoft 365 plan. If you're on Microsoft 365 Business Basic, Standard, or Premium (up to 300 users), Copilot Business at $18/user/month is the fit — it covers the apps your team already uses. If you're on Microsoft 365 E3 or E5 (typically 300+ users or larger businesses), Copilot Enterprise at $30/user/month is what you'll need — it ships with the advanced admin controls, compliance features, and data-handling guarantees larger orgs require. Microsoft is raising the Business tier to $21/user/month after July 2026, so the gap narrows over time. We'll confirm the right tier on your AI Readiness Assessment based on your existing M365 licensing.
What happens when a new AI model comes out mid-engagement?
That's exactly what the Managed AI tier is for. AI moves fast — a new frontier model ships every 3–6 months, new Copilot features land monthly, new attack vectors emerge constantly. As part of your Tier 3 Managed AI retainer (AI SafeStart, AI Fundamental, or AI Vigilance Pro), we evaluate every meaningful new release against your environment, recommend whether and how to adopt it, refresh your governance policies to cover it, and retrain your team on the changes. You stay current without having to track the AI news cycle yourself.
Can you support the AI tools my team is already using?
Yes — that's usually where we start. Most businesses already have employees running personal ChatGPT subscriptions, free Claude accounts, Copilot trials, or various AI plugins. During the AI Readiness Assessment we inventory what's actually in use (the "shadow AI" map), figure out which tools should be sanctioned and brought into a managed tenant, which should be replaced with safer alternatives, and which can stay as-is with policy guardrails. Banning AI doesn't work; mapping and managing what's already there does.
